At CountRights ("we," "us," or "our"), we understand that your financial information is highly sensitive. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our professional bookkeeping, accounting, and data migration services. We are committed to maintaining the highest standards of security and confidentiality.
1. Information We Collect
To provide you with accurate bookkeeping and accounting services, we collect specific types of information:
- Personal Information: Name, email address, phone number, business name, and business address.
- Financial Information: Bank statements, credit card statements, transaction histories, payroll records, tax documents, and chart of accounts structures.
- Accounting Software Credentials: Login credentials or secure OAuth connections to your cloud accounting platforms (e.g., QuickBooks Online, Xero, Sage, Zoho Books).
- Website Data: IP address, browser type, and usage data collected via cookies and Google Analytics.
2. How We Use Your Information
We use your personal and financial data strictly for the purpose of delivering our services and operating our business. Specifically, we use it to:
- Record transactions, reconcile bank accounts, and prepare financial reports.
- Migrate accounting data between software platforms securely.
- Communicate with you regarding your account, billing, and service updates.
- Collaborate with your CPA or tax professional at your request.
- Comply with legal, accounting, and tax reporting obligations.
3. How We Share Your Information
We do not sell, rent, or trade your personal or financial information to third parties. We only share data in the following circumstances:
- Service Providers: We share data with trusted third-party platforms you have authorized us to use, such as QuickBooks, Xero, or secure document portals (e.g., Google Drive, Dropbox). These providers are bound by their own strict privacy and security standards.
- Your CPA/Tax Professional: If you explicitly request it, we will share your financial reports and trial balances directly with your tax preparer.
- Legal Compliance: We may disclose information if required by law, subpoena, or government regulation.
4. Data Security & Bank-Level Encryption
We utilize industry-best practices to ensure your financial data is never compromised. Our security measures include:
- Read-Only Access: When we connect to your bank accounts for reconciliation, we use read-only feeds. We cannot move money, initiate transfers, or access your funds.
- Encryption: All data transmitted between your browser, our servers, and our cloud providers is protected using 256-bit SSL (Secure Socket Layer) encryption.
- Secure Portals: Sensitive documents (like tax returns or bank statements) are exchanged via encrypted, password-protected portals—not via standard email.
- Internal Access Controls: Access to your financial data is restricted strictly to the specific CountRights team members assigned to your account.
5. Data Retention
We retain your financial information for as long as your account is active or as long as necessary to provide our services. We also retain records to comply with legal and tax accounting requirements (typically 7 years). Upon account closure, you may request that we delete your personal data, subject to legal retention requirements.
6. Cookies and Tracking Technologies
Our website uses cookies to improve your browsing experience, analyze site traffic, and understand where our visitors come from. You can choose to disable cookies through your browser settings, though some features of the site may not function properly.
